What we keep, and why. This page summarises how RoleAxis handles data today with sovereign isolation and zero unapproved model training.
Processing & Cloud Infrastructure
Agent runs, supplier-invoice extraction and assistant workflows send bounded data to dedicated enterprise AI inference APIs: bills, amounts, supplier and employee identifiers required for that specific run. Customer data is never retained for foundation model training. The platform operates within secure sovereign infrastructure with enterprise encryption at rest and in transit.
Data Processing & Storage Inventory
- The assessment
- What you type into the free diagnostic, and its generated report. It reads zero data from your internal systems.
- Messages to us
- What you send through our contact form. Never sold; shared strictly with the authorized communication tools we use to respond to your inquiry.
- Your workspace
- Encrypted credentials for each connector you attach; each staged draft finding and action with the records it references; immutable logs of who reviewed and approved what; saved file runs, uploaded supplier bills, and reconciled bank lines. Master ledger databases and ERP records are read when an agent executes, never copied into permanent data stores.
- AI model processing
- Agent execution runs and invoice line-item extraction process bounded payloads (bills, line amounts, supplier and employee names for that specific task). Data is never used to train foundation models, and OpenAI enterprise zero-retention policies apply.
- Signing in
- Session authentication cookies keep authorized operators securely signed in. All sessions expire automatically and enforce HTTPS with secure flag.
- Tenant isolation
- Multi-tenant cryptographic segregation ensures each workspace sees strictly its own findings, queues, and approval dossiers.
- Retention & Backups
- Operational records are maintained during active evaluation and subscription. Encrypted continuous point-in-time recovery archives safeguard historical audit integrity.
- Right to deletion
